Getting Dance Recital Ready

We've been hosting recitals for a few years now and it's always a time of chaotic excitement. Getting a dance studio recital-ready involves careful planning, organization, and attention to various details. Here's a step-by-step guide to help you prepare for a successful dance recital:

  1. Select a Theme:

    • Choose a theme for the recital. This can help create a cohesive and visually appealing performance. We choose the theme for our recital before the semester even starts. This allows instructors time to get students ready as soon as classes begin.
  2. Create a Schedule:

    • Develop a detailed schedule that includes rehearsal times, costume fittings, and any other necessary preparations. Make sure everyone involved is aware of the schedule. We send out a program line up to everyone attending so families can plan accordingly. We have a program detailed by time that is sent out to all our staff so they know throughout the show how long they have until their class is on stage.
  3. Choreography and Routine Planning:

    • This is so key. Instructors must plan and choreograph the dance routines well in advance. Make sure each routine fits the theme and showcases the skills of the dancers.
  4. Costume Selection and Fittings:

    • Choose costumes that align with the theme and are comfortable for the dancers. Schedule costume fittings to ensure proper sizing. We outsource our costumes to India so we need to make decisions on costumes very early on and obtain measurements right at the beginning. We ensure that we order a few extra to in the event that anything goes wrong.
  5. Music Selection and Editing:

    • Choose appropriate music for each routine. Edit the music to fit the length of the performance and coordinate with the choreography.
  6. Rehearsals:

    • Conduct regular rehearsals to practice the routines. Pay attention to details such as timing, spacing, and transitions between dances.
  7. Stage and Lighting Preparation:

    • Collaborate with the venue to plan the stage layout and lighting. Rehearse on the actual stage if possible to familiarize dancers with the performance space. Plan out a walkthrough at least a month in advance so you can pass on stage/space logistics to instructors.
  8. Program Design:

    • Create a visually appealing program that includes the order of performances, names of dancers, and any other relevant information.
  9. Ticket Sales and Promotion:

    • Start promoting the recital early through various channels. Sell tickets in advance to ensure a good turnout. We use eventbrite for all our shows. It's pretty user friendly and most people are used to the platform.
  10. Backstage Management:

    • Designate responsibilities for backstage management. This includes organizing quick costume changes, ensuring props are ready, and providing support for nervous dancers. Everyone on your staff should have a role the day of the show. Delegation of roles and tasks early on will help the show run smoothly as possible.
  11. Photography and Videography:

    • Arrange for a professional photographer and videographer to capture the performances. This allows dancers and their families to have lasting memories. It is important to build these relationships and network throughout the year. It's best to try to use the same photographer/videographer each time so they get used to your preferences and timeline for the show.
  12. Acknowledgments and Thank Yous:

    • Prepare any acknowledgments or thank-you notes for sponsors, volunteers, and others who contributed to the success of the recital.
  13. Post-Recital Evaluation:

    • After the recital, gather feedback from dancers, parents, and staff. Use this feedback to improve future recitals. We send out a survey after each show and review every line that is sent to us. This helps us understand the needs of our families and improve overall satisfaction and retention

Remember, attention to detail and effective communication are key elements in the preparation process. By planning ahead and involving everyone in the studio, you can create a memorable and successful dance recital.
